The brief

Three groups drive into the site, each with completely different rules. Employees should pass through without delay. Visitors must complete the safety briefing and be approved by their host. Carriers have a booked time slot and need to reach the right loading dock without blocking the entrance.

If this were handled as three separate processes, someone would have to stand at the entrance deciding which one each arrival belongs to. So the brief was: a single decision tree that finds its own data source.

Solutions

At each arrival the system checks in turn: is this an employee according to the time & attendance system? If not, is it an announced visitor according to the gatehouse records? If not that either, is it a carrier with a booked slot in the transport scheduling system?

An employee drives through on their licence plate or card with no interaction at all. For a group visit, the driver gets a virtual card and the crew get physical cards for the turnstile. A registered carrier is handed over to the time-slot system, and its plate appears on the LED queue panel together with the gate number.

Vehicles are logged in a parking area and the system processes them one by one as loading docks free up — it only lets a vehicle through when there's somewhere for it to go.

What the customer gets out of it

The gatehouse needs no permanent staff, even though it distinguishes three groups with different rules.

The queue at the gate has moved to the parking area, where it's in no one's way, and drivers see their position on the panel instead of calling the dispatch office.

Every installed device has a functional test protocol, permanently available to the customer.
